Although most organizations in the past have looked upon Document Shredding and Document Destruction as the last and probably least important phase on the Records and information management process, Archive America believes that there are no unimportant phases, and that the destruction and final Document Shredding process is one of the most vital. Consider that the life cycle of a box stored in one of Archive America’s many facilities across the United States may be called upon many times. The storage retrieval and delivery process of boxes, files and tapes in any one of our Record Centers accumulates information in our database that may well become relevant even after it’s destruction. Many times we have come across clients who have legally and legitimately had boxes destroyed or used Shredding Services, only to find that down the road they need to prove that that item really does not exist. Not only this but consider a more serious situation where document managers and records managers need to prove to a court that these documents were confidentially destroyed and that they will never see the light of day again. Long gone are the days where sensitive and confidential documents can just be put in the trash can. This is why at Archive America, our policy of managing documents, weather they be in hard copy storage, open shelf storage or even tape media storage, includes the destruction process as the last and probably one of the most important phases of a documents life cycle. From the day a document is created it will have a finite life, at some point that document will probably cease to exist, but even after it’s demise, it may still be important. Our confidential destruction processes and secure Document Shredding and pulping give our clients the confidence to know that this information will never see the light of day again. Our standard operating procedures include failsafe checks to ensure that documents that are due to be destroyed go thorough several checks before final shredding. Again, this process starts at the inception of the document, once we are aware of our clients retention scheduling policies, these can be applied to selected parts or all of their document and records inventory. Our retention scheduling software ensures that different categories of documents can have multiple retention schedules that can be applied at a box, file, tape and even at an individual document level. Our Standard operating procedure allows our customers to request secure document shredding as and when they are confident that the life cycle of the document has expired. Then Archive America will supply full and detailed inventory reports including customer defined fields so informed document and records management decisions can be made. Upon receipt of a fully signed off copy of this report, Archive America will commence a fully confidential document shredding, document destruction or pulping operation.
